What we keep, and what we do with it.
The details you give us are used to price, schedule and do your work, and to keep the written record of your house. Nothing more.
Effective September 25, 2026. Almanac Home Co. LLC, The Woodlands, Texas.
The short version
We collect the details we need to price, schedule and do the work you ask for, and to keep the written record of your house. We do not sell your information, we do not run advertising trackers on this site, and we do not share what we know about your home with anyone who does not need it to do the job.
What we collect, and why
- What you type into a form. Your name, phone number, email address and the address of the home, the services you picked, your preferred time, whether you are buying, selling or leasing the property, the details of your home that set the Home Record price (square feet, HVAC systems, water heaters and bathrooms), how you heard of us if you choose to tell us, the name of the neighbor who sent you, so we can thank them, and anything you write in the notes box. The form also records the language you were reading the site in, English or Spanish, so that we call you in it. We use all of it to contact you about that request, to confirm the price in writing, and to schedule the visit.
- Where you came from. If you arrived from an advertisement, the form also notes which one, so we know what is worth paying for. This is read from the address of the page you landed on and is kept only for that visit.
- The freeze watch and the seasonal letters. The phone number you leave for the freeze watch is used for that text and nothing else. The email address or number you leave for the letters receives four letters a year and nothing else. Ask, and either stops at once.
- A box on each form that people cannot see. Robots fill it in, and we ignore what they send. It holds nothing about you.
- Photographs you send with a job description are stored on our own server at an unlisted address, seen only by the people who price and do the work, and deleted automatically ninety days after they are sent.
- What we record at the house. During a visit or a Home Record assessment we take photographs and readings, note equipment makes, models and serial numbers, and write up what we found. This becomes your service report or your Home Record. It is kept with your account so that next year's visit can be compared to this one.
- Payment details. Membership payments, and the deposit when you book a visit online, are by card through Stripe, a payment company. Your card number never passes through us: it goes straight to Stripe and never touches this website.
- Nothing else. This site sets no advertising or analytics cookies. It stores the list you are building in your own browser so it survives a page reload; that list never leaves your device until you press send. When you join and go to pay, it keeps your booking details in that browser tab until you book your Home Record; they are gone when you close the tab.
- Counting visits. We count visits with Cloudflare Web Analytics, a service that sets no cookies and stores nothing that identifies you.
Who else touches it
A few services help us run the business, and each sees only what it needs:
- Formspree delivers the forms on this site to our inbox.
- Hostinger hosts this website, the photographs you send with a job description, and a copy of each request you send, deleted after a year.
- Supabase is where your requests and the Home Record documents are stored, with the photographs taken at your house, in a private database that only our technicians can open.
- Stripe processes membership payments and booking deposits when you pay online.
- Cal.com runs our booking calendar. When you book a visit online, it receives your name, email, phone number, the address and your answers, to book the visit; the deposit is paid to us through Stripe on Cal.com's page.
- Licensed trades we coordinate. When you ask us to arrange electrical, plumbing, HVAC or gas work, we pass the contractor the address and the details of that job, and nothing more.
- A family member you name. If you ask, we also send your reports and the Home Record to a son or daughter, or to another person you name in writing, and to no one else.
We never sell, rent or trade your information, and we do not use it for advertising.
How long we keep it
Requests that never turn into a visit are kept for twelve months and then deleted. Service reports and Home Records are kept for as long as you are a client, and for five years afterwards, because the value of the record is in the comparison from year to year. Ask, and we will give you a copy of everything we hold about your home, or delete it.
Photographs
Photographs taken at your house belong in your report and your record. We do not publish them, and we do not use them in advertising, without asking you first and getting a yes. The request form has a box for that yes: tick it and we may show photographs of the work, never with your name or address, on this site and on social media. Leave it empty, or change your mind later, and we do not.
Your choices
- Ask us for a copy of the information we hold about you and your home.
- Ask us to correct it or delete it. We will, unless the law requires us to keep a record of work performed.
- Tell us to stop contacting you about anything other than a job in progress.
